Separate the garment needs
List which teams require rain suits and which are considering rain coats or rain jackets. Include any reflective rainwear requirement defined by the organisation. Keep the pieces and quantities visible so the quote does not mix complete sets with individual garments under one unclear total.
Gather sizes with normal layers in mind
Use the selected product’s size chart and arrange a sample review where available. Record the normal clothing worn underneath for the fit discussion. Avoid assuming that every employee should receive a larger nominal size; the actual garment measurements and supplier guidance are the appropriate starting point.
Ask about current availability
Provide your quantity split and required delivery date early. Ask the supplier to confirm stock or sourcing timing for the actual sizes and colours. A website listing or a requested date on a form does not reserve the products. Build the rollout plan around the confirmed written quotation.
Confirm branding before production
Where a company logo is needed, submit authorised artwork and request a method compatible with the actual rainwear. Review placement and the effect on functional elements before approving a proof. The final care instructions should apply to the completed garment, including any approved logo application.
Plan receipt and future replacement
Provide branch splits, receiving contacts and any delivery access requirements. Retain the approved product reference, allocation and care information. When replacements are needed, confirm that the proposed item still meets the requirement, particularly if the supplier offers a different model or construction.
